This timeline-based guide breaks your back-to-school preparation into manageable steps. We want you to walk into your new year feeling ready instead of rushed. If the school year is already in full swing for your family, do not worry — it is never too late to get organized and make the transition a little smoother. We put this guide together to help you navigate the weeks ahead, wherever you are in the school-year process.
4 Weeks Before School Starts
Handle the Paperwork
- Confirm registration/enrollment is complete.
- Update immunization records.
- Fill out emergency contact and medical forms.
- Check if any physical, dental, or mental health checkups are needed, then schedule/complete those appointments.
- Make sure the school knows who can pick up your child.
- If your child has an IEP or 504 plan, confirm it has transferred and is current with the new school.
- Save copies of everything, and if you can, scan them so you have electronic copies, too.
For Foster, Kinship, and Adoptive Families
Back-to-school can mean extra steps if your child has recently changed homes or schools:
- A child in foster care generally has the right to stay in their current school even after a placement change, with transportation arranged — ask your Resource Specialist if this applies to your situation.
- If records need to transfer between schools, your Resource Specialist can help track that down.
- Kinship caregivers without standard guardianship paperwork can also reach out for help with enrolling a child.
- If siblings are split across schools, loop in your Resource Specialist to help coordinate calendars and logistics.
- If your child has medical needs, be sure to detail your procedures, medication management, and other needs to the school’s nurse and others.
Take Stock of Supplies and Gear
- Try on last year’s backpack, shoes, and clothes — kids grow fast over summer.
- Make a supply list based on the school’s requirements.
- Label everything (lunchboxes, jackets, water bottles).
- Look into local back-to-school supply drives or events — ask your Resource Specialist if Omni knows of any in your area.
Plan Your Logistics
- Confirm the school calendar (start date, early dismissals, holidays) and sync your family’s calendar with everyone involved in caring for your child (co-parents, family members, day care, etc.).
- Figure out transportation (bus, carpool, walking) and communicate the plan to everyone who needs it.
- Sort out before/after-school care if needed.
- If your child takes medication during school hours, confirm the school’s process and paperwork ahead of time.
- Add key dates to your shared family calendar.
1–2 Weeks Before School Starts
Reset Everyone’s Sleep Schedule—Including Yours
- Shift bedtime and wake time earlier in 15-minute increments every few days.
- Cut back on screens before bed to help the adjustment stick.
Ease Back into Routines
- Practice the morning routine: wake up, get dressed, eat breakfast, out the door.
- Start winding down “unstructured” summer days and build in more structure.
Talk About the School Year Ahead
- Ask about excitement or worries, especially for new schools, grades, or friends.
- If possible, do a school visit or look at class placement together.
- Reconnect with classmates before day one if there’s been a long summer gap.
- Think through, together if it feels right, what (if anything) you want to share with a new teacher about your child’s situation. There’s no one right answer — go with what feels comfortable.
Set Up a Home Base for Learning
- Create a consistent homework/study spot, even for younger children.
- Stock additional basic supplies there (pencils, paper, calculator, etc.).
The Week Before School Starts
Do a Final Backpack and Supply Check
- Prep a simple lunch/breakfast rotation to avoid morning scrambles.
- Lay out clothes the night before for the first few days.
- Confirm pickup/drop-off logistics with anyone else involved.
- Make a “first day” photo plan if that’s a family tradition.
First Week of School Tips
- Keep mornings low-pressure — build in extra buffer time.
- Check in after school with open-ended questions (“What was something fun today?” or “What do you remember most about your day?” rather than “How was school?”).
